The Challenge The firm's clients are routinely audited by independent auditors who require the legal firm's response related to any pending litigation or other factors which may affect the audit. As many clients of the firm have multiple attorneys assigned to them over the audit period, the process of responding in a timely manner was very labor and paper intensive. Three full-time employees were required to manage this function for the firm.
The Solution Ingeniasoft's developed a custom, web-based workflow system called 'AuditFlow' to automate the entire process. By integrating data from the firm's existing data warehouse system together with a workflow process utilizing their internal email communications, Ingeniasoft's solution has reduced the time and workload substantially. Now attorneys can respond to the audit letter requests by clicking a link in a notification email, and entering their appropriate comments. Multiple attorney responses are then aggregated and made available to a 'letter preparer' who drafts the consolidated response to the audit firm.
Business Value Ingeniasoft's solution enabled the company to comply with their client's audit requirements, while providing faster turn-around and better management of the process, with a reduction in labor costs. The firm estimated the return on investment of the solution to be less than six months.
